Workai implemented a modern intranet for Polskie Sieci Elektroenergetyczne (PSE), a strategic State Treasury company responsible for balancing the national power system. The project aimed to improve internal communication, organise knowledge, and support collaboration among employees across multiple locations.

Today, the platform is used by more than 3,000 PSE employees. The intranet gives them quick access to current information, documents, and tools they need in their daily work, while maintaining high security standards.

Project goals

PSE needed a single, central source of information. In an organisation with a distributed structure, ensuring consistent, secure, and up-to-date internal communication was essential.

The project also aimed to:

  • centralise knowledge and operational documents,
  • improve collaboration across teams and locations,
  • increase employee engagement through clear and transparent communication,
  • maintain full control over organisational data.

The Workai platform was designed to become PSE’s main communication hub and to support employees in their day-to-day work.

Platform implementation

The Workai platform was implemented using a proven methodology and the team’s experience in delivering projects for large, regulated organisations, including those in the energy sector. The work was carried out according to the agreed timeline and in line with high security standards.

Needs analysis

The project began with a detailed analysis of the organisation’s needs. During workshops with representatives from HR, IT, and operational teams, the main challenges related to internal communication and access to information were identified.
Based on these insights, the key functionalities of the platform were defined. The focus was on simplifying access to information and improving collaboration across the organisation.

Information architecture

Working closely with PSE, the Workai team designed a new information architecture, including the portal structure, navigation, and content layout.
The platform was designed so that users could easily find key documents, procedures, and updates, without unnecessary clicks or searching across multiple systems.

Training and user enablement

Training and user enablement were an important part of the implementation. The Workai team prepared guidelines and delivered practical workshops for administrators, content editors, and end users.
This helped employees quickly learn how to use the platform and supported its smooth adoption across the organisation.

Data migration

As part of the implementation, content from existing systems was reviewed and migrated to the new platform. This included an inventory of resources, the selection of key documents, and updates to their content.
The involvement of PSE teams at this stage helped improve data quality and ensured that information in the new intranet remained accurate and up to date.

Launch and internal rollout
After the platform was launched, PSE carried out an internal onboarding campaign for the new intranet. Employees received communications, presentations, and instructional materials explaining how to use the platform and what benefits it offers.

As a result, the intranet was actively used by employees from the very beginning.

From the first days after launch, the platform generated strong interest and was quickly adopted by employees across the organisation.

Implementation results

Consistent internal communication – PSE employees now have a single place where they can find all news, announcements, and documents. Information is clear, current, and tailored to different audiences. Content personalisation means that employees receive only the messages relevant to them. This helped reduce information overload and improve the effectiveness of internal communication.

Faster access to knowledge – the new knowledge base and improved search significantly reduced the time needed to find documents and procedures. Employees can now make decisions faster and complete their tasks more efficiently.

Higher employee engagement – social features allow employees to create topic-based groups, comment on content, and share information. The platform supports collaboration between teams and helps strengthen connections across the organisation.

Automation and time savings – automating processes such as requests and surveys reduced the workload of administrative and IT teams. Content editors can manage content on their own, which helps reduce operational costs.

Data security – the platform was deployed in PSE’s local environment. This gives the organisation full control over its data and supports compliance with security requirements.
